About the project

Currently, we are looking for an Executive Assistant for our key client, a Germany-based company, to join a pioneering team in the geospatial data industry. By leveraging AI, mobile cameras, and blockchain technology, the company offers real-time dynamic mapping solutions that improve safety, efficiency, and predictive analytics in autonomous driving, smart cities, and mobility. Their products, including a mobile app and data monetization platform, allow users to collect real-world data and earn rewards, contributing to a decentralized geospatial intelligence network that powers the future of mobility.
We are looking for an Executive assistant to support day-to-day operations across finance, HR, and administration. This role is ideal for someone who is detail-oriented, organized, and eager to work in a fast-paced, tech-driven environment.

Your duties

As an Executive assistant, you will be responsible for:

- Manage accounts payable and receivable processes and support day-to-day financial administration
- Prepare, organize, and deliver documentation for monthly and annual financial reporting to tax advisors
- Support budget preparation, monitoring, and control in collaboration with finance leadership
- Oversee employee onboarding and offboarding processes, ensuring smooth transitions
- Prepare, manage, and update employment contracts and related HR documentation
- Coordinate payroll preparation and work with external payroll providers
- Administer employee benefits and address HR and administrative inquiries
- Continuously improve and automate financial and HR workflows using tools such as Finway and Personio
- Collaborate with operations and finance teams to ensure compliance with labor, tax, and financial regulations
- Be available for occasional business travel to Hamburg (1–2 times per year) to support coordination and operational activities.
- Contribute to process optimization and overall operational excellence across departments

Requirements

- 2+ years of experience in Finance, Accounting, HR Operations, or Business Administration
- Solid understanding of core financial and HR processes
- Strong attention to detail and organizational skills
- Ability to work independently, manage multiple tasks, and prioritize effectively
- Proficiency in Microsoft Office, particularly Excel
- Excellent communication skills in English


Nice to have:
- Experience with financial operations tools such as Finway or similar software
- Experience using HR platforms like Personio
- German language is a Plus
